Planning an Event

Do you have an idea for a fun event?

Want to give something back to the organization?

We're always looking for new event ideas, and especially people to lead them!

Just follow these simple steps for planning an event, running it and post-event wrap-up.

Before the Event

  1. Pick your activity.  The general rule of thumb is to pick something that you like to do or have always wanted to try.

  2. Look at the future events page for timing. Our goal is to have at least one event every other week with minimal overlap.  We also prefer events to be on a Sunday (because of Shabbat) but it's basically your decision. Please plan at least 1 month in advance.

  3. Review typical event details at the bottom of this page. They will help you plan most aspects of the event.  Send an email to office@michigan.mosaicoutdoor.org (or US Mail to our P.O. Box, below) with as much information as possible. We will contact you to work out the details.

  4. Just before the event, print off a few copies of the waiver form and bring them with you to the event.

During the Event

  1. Arrive approx. 15 minutes before event starting time. Put up signs if necessary.  As participants arrive, collect the event fee and, if not a member, the non-member fee and have them sign the waiver form.

  2. Depending on the event that you're running, you may find that some people need instruction or a little "hand-holding".  Others will be more comfortable learning/doing on their own.  While you shouldn't forget to have fun yourself, try to remember that you are the leader and be concerned that everyone is having a good time.

After the Event

  1. Complete the reimbursement form for expenses related to Mosaic sponsored and approved activities or events.

  2. Hand deliver all proceeds collected to a board member at the event if possible, and send the signed waivers and the completed expense report to:

Typical Event Details

EVENT TITLE: Grab the reader's attention

DATE: Proposed date of event

TIME and MEETING PLACE: Starting point, include time/duration of event, exact location and directions. If we meet in the city to form car pools, give this information first, including time and exact location.

ACTIVITY INFO: A couple of sentences describing the event. Is previous experience in this activity required?

COSTS: Cost of event for members and non-members. May mention necessary exclusions/inclusions in the cost. Is a deposit required?

WHO CAN ATTEND?: i.e. beginner, intermediate or advanced level. Is this an Adult only or Child/Pet friendly event? What is the minimum age for children (if applicable)?

WHAT TO BRING: List of items to bring, include clothing and food. Does each person have to bring their own equipment? i.e. bicycle, skis, canoe. Is equipment available to borrow or rent? If the event lasts for several hours, is there a place to buy a meal or snack?

RSVP INSTRUCTIONS:  If required.

CONTACT INFO:  We need your contact information so that we can get in touch with you to discuss event details.  We also need to know how much of that information we can publicize so that people can ask you questions about the event. We prefer to include your phone number so that people without email or web access can ask questions, or for them to communicate with you before/on the day of the event.
